1. Scope
This Policy explains how Book2Clean (“the platform”, “we”) collects and uses personal data when you use the platform as a Client, Cleaner or Helper in Ireland. It applies to the marketplace, CleanConnect messaging, Credits and subscriptions, and the AI-assisted drafting features.
2. Data we collect
- Account data: name, email address, phone number, password credentials.
- Preferences: preferred language(s), notification and Do-Not-Disturb settings.
- Profile information: photo, about/bio text, quiz answers, availability, service categories and working radius.
- Addresses and locations: street address, Eircode, service locations, and geolocation coordinates derived for radius/PostGIS matching.
- Cleaner/Helper professional information: experience, specialities, service settings, levels and scores.
- Identity verification documents, where verification is required for a Cleaner or Helper role.
- Marketplace activity: cleaning requests, quotes and responses, bookings, Helper requests, applications and jobs, favourites, reviews and ratings.
- CleanConnect messages and related metadata (including Contact Guard checks).
- Credits and billing data: Credit ledger entries, subscription state and payment references held by our payment provider (we do not store full card details).
- Legal acceptance records: document, version, user and time of acceptance.
- Technical and security logs: device/browser data, IP-level and error logs.
- AI feature inputs and outputs, where you use AI-assisted bio, quote or translation features.
3. Why we use it
- Creating and operating your account and roles.
- Marketplace matching, including radius/geography matching of nearby users.
- Publishing requests, distributing opportunities, quotes and bookings.
- Operating Credits, bonuses, subscriptions and billing.
- Fraud prevention, safety, abuse prevention and platform security.
- Legal, tax and accounting compliance.
- Customer support and dispute handling.
- Identity verification where required for a role.
- Reviews, ratings, scores and levels.
- AI-assisted bio and personalised quote drafting, and translations.
- Service communications about your account and activity.
4. Legal bases
Depending on the processing, we rely on: performance of a contract(operating your account, matching, quotes, bookings, Credits and subscriptions); legal obligation (tax, accounting, and responding to lawful requests); legitimate interests (platform security, fraud and abuse prevention, service quality, dispute handling); and consent where consent is genuinely the basis (for example optional communications, or where a feature is offered on an opt-in basis).
Identity verification documents require particular care and may involve additional conditions. Book2Clean does not yet publish a final legal-basis determination for identity documents; the legal basis, any applicable conditions and the retention schedule for these documents are subject to legal/DPO review before commercial launch.
You may choose to capture an identity-document image on a linked phone using a short-lived, single-use upload link shown as a QR code on your computer; the image is stored privately in the same way as a document uploaded directly.
5. Service providers and processors
We use the following categories of provider to run the platform:
- Supabase — database, authentication and file storage for the platform.
- Stripe — payments for Credits and subscriptions, and related billing records.
- Anthropic (Claude) — AI processing for bio, quote and translation drafting.
- Google Maps / Places — address lookup, Eircode search and geocoding.
- Cloudflare — application hosting, delivery and infrastructure security.
- Email, SMS and push notification providers, where the corresponding channel is activated.
Providers act on our instructions under data-processing terms and only for the purposes described here.
6. AI processing
Book2Clean's AI-assisted features send only the limited data required for the specific feature you are using. Each feature uses data already supplied or saved for that purpose:
- AI-generated bio drafting uses relevant saved Cleaner profile and quiz information.
- Personalised quote drafting uses relevant Cleaner and request information.
- Translation uses the specific content requiring translation.
Identity verification documents, payment card details and CleanConnect message history are not provided as AI feature input.
AI output is a drafting or display aid, as applicable, and does not determine authoritative service pricing. Provider handling remains subject to the applicable API/data-processing terms.
7. How data is shared between users
- Client ↔ Cleaner: a request's service details and an approximate area are shown to eligible Cleaners; profile, quote and CleanConnect content is shared between the parties involved.
- Cleaner ↔ Helper: Helper opportunities show limited job detail; fuller detail is shared with the selected Helper.
- Exact addresses are disclosed only where the confirmed workflow requires it (for example to the assigned Cleaner or selected Helper).
- Service providers and processors listed above.
- Authorities, regulators or advisers where disclosure is legally required or needed to establish, exercise or defend legal claims.
We do not sell personal data.
8. Retention
We keep personal data only for as long as necessary for the purpose for which it was collected, and for as long as required by legal, accounting, tax, fraud-prevention, security or dispute-resolution obligations. Detailed retention periods are set by the Book2Clean retention policy and remain subject to review before commercial launch; we do not state fixed periods here where none has been formally defined.
Identity verification documents are access-restricted, are visible only to the limited roles that need them, and are retained only as long as necessary for verification, compliance and security purposes. They are not stored indefinitely.
9. Security
We apply reasonable technical and organisational measures, including access control and row-level database security, encrypted transport, restricted storage for sensitive documents, server-side enforcement of platform rules, and logging. No online service can be completely secure, so we cannot guarantee absolute security.
10. International transfers
Some providers may process data outside Ireland or the EEA. Where that happens and where legally required, appropriate safeguards (such as adequacy decisions or standard contractual clauses) are used. The specific transfer mechanism per provider is confirmed as part of pre-launch review.
11. Your rights
Subject to the conditions in the GDPR, you have the right to:
- access your personal data;
- have inaccurate data corrected;
- have data erased where applicable;
- restrict processing;
- object to processing based on legitimate interests;
- data portability where applicable;
- withdraw consent where consent is the legal basis;
- lodge a complaint with the Irish Data Protection Commission (dataprotection.ie).
You can exercise these rights via Book2Clean support inside the app.
12. Account deletion
You can request account deletion from your profile. A request may be blocked while you have active commitments such as open requests, upcoming bookings or an active subscription.
Deletion is not necessarily immediate and may be carried out by anonymising your records where financial, legal, security or dispute-related records must legitimately remain. We therefore cannot promise immediate physical destruction of all records.
13. Children
Book2Clean is not intended for anyone under 18, and we do not knowingly process data of users under 18.
14. Changes and contact
This Policy is versioned. When a materially new version is published you will be asked to accept it once; earlier acceptances are kept for audit purposes.

Your acceptance of this Policy is stored with your user account, the document version shown above and the time of acceptance. Acceptance history is append-only and cannot be edited from the app.
